HR & Admin Specialist - HYBRID

Job Description

Recruitment and Onboarding

· Recruiting staff and interns by preparing job descriptions and job advertisements.

· Coordinating with respective heads for technical assessments.

· Shortlisting applicants for interview, technical assessments, and placement.

· Pre-employment requirements processing and filing.

 

Training and Development Career Planning

· Maintain training database tracker.

· Coordinating with each department for the scheduling of onboarding training of newly-hired employees.

· Onboarding training facilitation

· Monitor external certification and training of staffs.

 

Performance Management, Monitoring, and Evaluation

· Maintain Employee Performance Evaluation database.

· Administration of midyear and year-end employee performance evaluation.

 

Compensation and Benefits Administration

· Payroll preparation

· Processing of government mandatory benefits on a monthly basis

· Preparation and processing of final pay.

 

Employee Relations and Conflict Resolution

· Preparation of letter of promotion, suspension, memo, and other HR notices.

· Helping maintain a good relationship between managers and staff

 

Employee and Team Engagement and Culture Management

· Lead weekly townhall meeting

· Midyear, annual, and quarterly company activities administration.

· Coordination with partner HMO for Annual Physical Exam

 

Policies, Labor Laws, and Occupational Safety and Health Regulations

· Prepare and process annual reports required by the Department of Labor and Employment.

· Attend DOLE Basic Occupational Safety and Health program

· Attend other mandatory training by the government

 

HR Planning

· Prepare weekly report and data update of attendance, leaves, absences.

· Helps the HR Lead by preparing pertinent data needed for annual planning, business review, and Operations discussion.

 

Industry Benchmarking

· Maintain updated data including but not limited to salary, benefits, employee engagement program, training, wellness activities, and the likes.

 

Resource management and Office Administration

· Ensure complete company equipment inventory system

· HR and Admin fund management

 

Internship Management

· Maintain a close relationship with active academic partners in relation to sponsorship, invitations, training, speaking engagement, etc

· Preparation of internship training agreements

· Manage all Memorandum of Agreements

· Conduct Onboarding orientation

· Endorsement of newly-hired interns to respective departments

· Conduct exit interview and completion requirements

· Create and facilitate Internship activities and awards

 

QUALIFICATIONS

  • Bachelor's degree in Human Resources, Business Administration, or a related field
  • 1-3 years of experience in a generalist HR role, preferably in a fast-paced, dynamic environment
  • With background in Recruitment, Employee Relations, Recruitment, Training and Development, and Administrative functions.
  • Must be knowledgeable of HR best practices, labour laws and regulations.
  • Excellent communication and interpersonal skills with the ability to build relationships at all levels
  • Proficient in HR information systems and MS Office applications
  • Proactive, detail-oriented and able to multitask and prioritize, effectively
  • Passion for supporting and developing people within an organization.
